Minutes of meeting held: Saturday 4th April 2015

Actions from November 2014 meeting:

Item 3: Display minutes on Surgery notice boards, website and schedule future dates for

2015 meetings. – Action Complete.

Item 4: Confirm height limitations in disabled parking bays – Update: There are no height restrictions – Closed.

Action: Confirm the number and size of lifts – Update: There is one lift and it complies with all of the required regulations – Closed

Update: The 2014/15 survey results are still to be added to the website - c/fwd.

Introductions: The meeting was opened and the Chair welcomed the group and apologised for the change of date due to Winter Pressure opening hours preventing the use of a suitable meeting room. Introductions were completed. The previous minutes were agreed.

Expectations: It was agreed that greater participation would benefit the Surgery. The following additional steps will be taken to promote the group and attempt to increase attendance, Action: JF to lead the following initiatives:

  • Include details of the PPG in all new patient registration packs along with application form.
  • Posters to be displayed in care homes, nursing homes and local community centres to encourage participation from patients, relatives and carers.
  • Reminder of next meeting date to be included on the scrolling banner on Practice website and on the waiting room patient call screen for the 4 weeks leading up to the next meeting.
  • Application forms in reception
  • Details to be included in Newsletter (currently being developed)
  • Emails will be sent to all patients who used to be part of the virtual PPG to ascertain if they still want to be included and to send in any points they would like to have included in the next meeting’s agenda.

New Surgery update:

  • The move will take place over the weekend of the 13th June
  • The new surgery will open on Monday 15th June.
  • There will be a new telephone system but no changes to the telephone numbers.
  • Receptionists would like to wear a uniform and staff badges.
  • All staff will be trained on the use of the Evac chair
  • A question was raised by AS as to whether the new surgery would be having extra services eg ENT & Dermatology? Action: JF to find out.

Keeping in touch. – It was agreed that we would use email to make contact 4 weeks before the next meeting for agenda ideas.

Isolated Patients – Manston Surgery will be working with the Crossgates and District Good neighbours scheme to identify patients over the age of 60 living alone, to try to reduce loneliness and isolation. The surgery will be sending out leaflets. A comprehensive range of patient information is now displayed in the waiting room.

Year of Care – Diabetes. JF explained that the surgery will be improving the care of people with long term conditions starting with Diabetes. The initiative seeks to put patients in the driving seat. The next condition to be targeted is Chronic Obstructive Pulmonary Disease (COPD).

Scholes Extra clinics – As a result of feedback from Scholes patients it has been decided to add an extra weekly clinic for appointments with the Health Care Assistant for; ear syringing, B12 injections, diabetic checks and hopefully ECG’s. This would reduce the worries Scholes patients may have about visiting the new Crossgates surgery with regard to parking and bus stop issues.

Re-Launch of the Surgery newsletter - The meeting discussed the frequency and content of the newsletter. The consensus was that it should be quarterly and should include local surgery news, such as staff changes and any new services to be added.

Friends and Family test – Introduction of friends and family test. JF explained how the system works and what its aims are. This is a nationwide initiative where patients are asked if they would recommend their GP practice. The responses received so far from Manston and Scholes are extremely positive.
